  • Scope of work and duties:

    1. Overall in charge of the operation of the Building/Property

    2. Overall in charge for the Planning, Administration, Implementation, Monitoring and Control

    of the daily functions of the Property Management Office (PMO)

    3. Maintain Updated Register of all Parcel Owners and Tenants, including Register of Shared Units at all times

    4. Liaison with Authorities on all matters pertaining the property and compliance to SMA (2013)

    5. Ensure compliance of SOPs for Emergency, Safety, Security, Facilities and others

    6. Ensure adherence of DMC and Residents Handbook and House Rules

    7. Ensure the property is efficiently managed and maintained

    8. Ensure that the facilities are in sound and proper working condition

    9. Maintain and track all vendors/service providers in carrying out their services contracts

    10. Conducts regular meetings with all service providers

    11. Ensure healthy cashflows and funds to meet the monthly commitments/budget

    12. In charge of overall procurement functions and follow up with vendors/suppliers

    13. Checking and approving claims and payments of service contractors and suppliers

    14. Liaise with accounts dept/HQ on property management/accounting services software

    15. Oversee Service Charge/Sinking Fund billings periodically to owners

    16. Liaise with accounts dept/HQ to track outstanding payments and ageing reports

    17. Liaise with bank on all banking functions when required

    18. Ensure payments received are banked in regularly

    19. Check weekly financial reports to HQ and update bank balances/reconciliation

    20. Oversee and approving Notices to owners including email-blast announcements

    21. Check monthly bills from TNB and Syabas; including charging out apportionments

    22. Coordinate with accounts dept on Monthly Financial Reports to BM/HQ

    23. Oversee HR matters are in order

    24. Approval of PMO purchases/expenses

    25. Oversee front desk when required regarding Residents’ matters including enquiries

    26. Ensure Access Cards matters are resolved promptly

    27. Ensure housekeeping and security are in place

    28. Prepare/check the budget/cash flows calculations and billings for Residences/other SC/SF

    29. Direct charge man and technician/s regarding their duties including complaints from owners/residents received through emails and complaint forms

    30. To handle problems faced by residents and find practical solutions

    31. To implement best practices principles and keep maintenance cost low and within budget

    32. To prepare and submit regular maintenance reports to Management and/or JMB/MC

    21. Prepare monthly HR timesheet/punch cards and summary to HR in head office

    23. Assist at front desk regarding facilities, renovation work and residents’ matters

    24. Attend to access cards matters including activation of additional/problemed cards

    25. Attend to phone calls as and when required

    26. Provide guidance and training to AA for teamwork

    27. Oversee the cleaners and security vendors on supply of toiletries and documents

    28. Assist BM/accounts exec in preparing the budget calculations and billings of SC/SF

    29. Coordinate with charge man and technician regarding complaints from owners/residents

    received through emails and complaint forms

    30. Reply and/or forward complaints and defects to BM and Defects Dept

    31. To be neatly attired during working hours

    33. To organize and execute the admin work based on best practices and priorities

  • Scope of work and duties:

    1. Assist Admin Executive (AE)/Building Executive (BE) and BM on the daily office functions of

    the Property Management Office (PMO)

    2. Assist in filing of all the unit owners’ files/documents

    3. Assist to update all the owners and tenants’ info

    4. Received SC/SF payments and issue Original Receipts (OR)

    5. Print out SC/SF Statements of Accounts

    6. Assist to generate Service Charge/Sinking Fund billings

    7. Assist to generate water bills to all owners

    8. Assist to check bank statement for payments received

    9. Assist on collection renovation deposits and to process refunds

    10. Assist in collection to be banked-in, access cards, renovation and other deposits

    11. Attend to residents at front desk regarding facilities bookings, renovation work, enquiries

    12. Attend to Access Cards applications and issuance of temporary access cards

    13. Attend to phone calls as and when required

    14. Co-ordinate with AE/BE and charge man/technician/s regarding complaints from

    owners/residents received through emails and complaint forms received

    15. Liaison with security personnel on facilities usage/bookings including moving in/out forms

    16. Assists in putting up Notices for Residents

    17. Assists in handling of keys issuance to/return from service vendors/providers

    18. Assists in documentation processes/copying and sorting, sending out bills

    19. Assist in credit cards transactions and issuance of receipts

    20. Assist in forwarding/issuance of forms for complaints and other misc enquiries

  • Scope of work and duties:

    1. Assist the BM on the regular functions of the M&E Installations in Building

    2. To work independently in checking and monitoring all the M&E installations in the building to ensure that all the M&E and similar installations are in sound working condition.

    3. Ensure the respective SOPs for operating and maintenance of M&E installations are in place in terms of safety and functionality

    4. Ensure compliance to Residents Handbook and House Rules

    5. Check and ensure all service providers comply with their contracts of services

    6. Monitor all vendors/suppliers and service providers regarding their scope of services

    7. Check/Verify with service providers and vendors their job-sheets and work done

    8. Check, on a daily basis, the electrical installations in the Main Switch Room to ensure electric supply is in order and to liaise with the building’s visiting Elec Consultant on any issues

    9. To assist in generating water consumption readings on a regular basis

    10. To check and ensure all the M&E Riser Rooms are secured and properly maintained

    11. Prepare weekly maintenance report to BM for discussion and update

    12. Assist BM in posting related Notices on M&E and/or disruption of services matters

    13. Check and take utilities readings regularly to ensure correctness of bills and apportionment

    14. Coordinate with technician and admin department regarding complaints from owners/residents received through PMO emails and complaint forms

    15. Assist BM in coordinating defects/complaints

    16. Attend to joint inspections on all M&E related maintenance works

    17. To maintain high safety standards and compliance with local by-laws

    18. To work together with technician in troubleshooting of M&E installations issues

    19. To be properly attired and use proper tools and equipment in carrying out the duties

    20. To adopt best practices and prioritize tasks at all times

    6. Monitor all vendors/suppliers and service providers regarding their scope of services

    7. Check/Verify with service providers and vendors their job-sheets and work done

    8. Check, on a daily basis, the various installations in the common areas are in order

    9. To check and ensure the cleaning services are properly implemented as per their schedules

    10. To check and ensure the security guards are appropriately posted

    11. To assist in generating water consumption readings on a regular basis

    12. To check and ensure all the M&E Riser Rooms are secured and properly maintained

    13. Prepare weekly maintenance report to BM for discussion and update

    14. Assist BM in posting related Notices on operational matters

    15. Check and take utilities readings regularly to ensure correctness of bills

    16. Coordinate with BM and admin dept regarding complaints from owners/residents received through PMO emails and complaint forms

    17. To carry out minor repairs and handyman work where required

    18. Assist BM in coordinating defects complaints
